Week 1: the link goes everywhere, nothing else changes
Set up your services and hours, then place the booking link where clients already are: WhatsApp about, Instagram bio, Google listing, e-mail signature, a QR code by the mirror. Don’t announce anything. When the next “do you have Thursday?” arrives, reply: “Thursday’s open — pick the time that suits you here: [link]”.
Week 2: every manual booking gets a confirmation e-mail
Keep booking phone clients yourself, but enter them into the same calendar and let the system send the confirmation. That e-mail is the quiet introduction: their appointment, your address, and a link to move or cancel it themselves. The next time they want a slot, that link is in their inbox.
Week 3: book the next visit at checkout
“Want to lock in six weeks from now?” — then open your booking page on your own phone, tap the slot together, and they get the confirmation before they leave. You’ve just shown them the whole thing in twenty seconds, and the rebooking rate goes up on the side.
Week 4: reminders do the talking
By now most of your diary is in one place, so turn on the day-before reminders. Clients who used to call to “check the time” stop calling. A reminder with a reschedule link is the moment most holdouts realise the link is for them too.
What to say to the ones who push back
“I prefer to call.” — “Of course, call anytime. The link is just there for when I’m with a client and can’t pick up.” That sentence is true, it keeps the relationship, and it explains why the link exists better than any announcement. Nobody has to be converted; they just have to find the easier path when the phone goes unanswered.
Who this is for
Providers with an existing client base who still take bookings by phone, WhatsApp or Instagram: salons, barbers, beauticians, massage, tutors, trainers. If you are brand new, skip this — you can start online from day one.
What this won’t fix
A few clients will never book online — the ones who like the call, or who don’t use e-mail. That’s fine; you book those by hand in the same calendar, and they still get reminders. The goal is 80% self-service, not 100%. TapBook is the calendar and the link; the four weeks of pointing at it are yours.
